Setting up & Configuring Exact Online
Once you've got an Exact account, you can connect it so your invoices can go straight into Exact Online.
What You Need:

Exact Online account and its login

ZapFloor account with Activated integration

Exact Online settings configured in Zapfloor
Journal The journalcode Current division Division number Authentication connection Exact online needs to be select here International customer VAT code Select the line of you choice in the dropdown menu Credit note journal By enabling this, a different journal for credit notes is created. Different exact online instance Set correct if invoicing with a different Exact Online instance as your company is stated Exact enabled This toggle needs to be on Auto push invoice Invoices made in Zapfloor will be automatically pushed to Exact Match invoice payments automatic Every night a check will be done which invoices are paid and the will be updated in zapfloor automatically. Push invoice doc automatically to Exact online as sales entry Your system can automatically send invoices to Exact Online, where they are recorded as sales transactions, saving you the manual step of entering them. Enable deffered revenue The order was placed at a different time than when the invoice was created and the payment was made. Use product specified for discount for all discounts Every discount (line, global,..) will be added to a specific product.
Once the Integration is Activated:

Step 1 : Go to Integrations > Connections

Step 2 : Click New Connection

Step 3 : Select Exact

Name: Exact Online or your preferred name

Click Create

Step 4 : Open the connection using 🔍

Step 5 : Click Authenticate connection

You’ll be taken to Exact to link your account

Exporting Journal Codes from Exact
Once the connection is made, you can export a list of journal codes from your Exact environment.
These will be used for assigning resources in Zapfloor:

Products
-
Meeting rooms
-
Desks
Setting Journal Codes to Resources in Zapfloor
ZapFloorHQ allows you to assign detailed journal codes for different resources:
Set Product Codes

Go to My Center > Products
⚠️ You need to set journal codes for products per location ⚠️
For each product or service:

Assign a unique journal code
-
Remember to save your changes after setting each product
Set Meeting Room Codes

Go to My Center > Meeting Rooms
-
Select the meeting room from the list
-
Scroll down to Accounting to assign the journal code
Set Unit Codes (Offices)

Go to My Center > Units
-
Select the unit from the list
-
Enter the journal code
