Migrating to a new Xero account
How to migrate from one Xero account to a new Xero account, when you have it integrated in Zapfloor.
To migrate from one Xero account to a new Xero account there are a few steps that needs to be taken.
- Zapfloor removes the connection and the IDs
On an agreed date Zapfloor removes the connection with the current Xero environment and the IDs. - You update the product codes
While the connection is off, operators can start working on editing the journal codes of products, meeting rooms and units. This is needed to make sure the different products in Zapfloor will go in the right journal in your new Xero account. - You do the authentication again to the new environment
Once the products, units and meeting rooms codes have been updated, you can reconnect Zapfloor to your new environment.
Go to Zapfloor in Integrations > Connection > New connection, select Xero, then click the magnifying glasses and authenticate the connection. Xero will automatically open and you can select which account should now be use.
After the integration is done with your new Xero account, check in Integrations > Xero, that your current division and journal are up-to-date.
Check list before migrating
In Zapfloor
- Add updated journal codes to all products, meeting rooms and units in Zapfloor
- Change billing entity to new one
- Ask your CS Manager to adjust the billing entity to the new one with all financial details, address
- Ask your CS Manager to adjust the new invoice number format
- Don't create any draft or actual invoice during the migration time
- Ask your CS Manager to edit all customers to the new billing entity
- Add your new Xero details (division code, journal number) to Zapfloor- Integrations- Xero
In your Xero environment
- Add all products, meeting rooms and units to your new Xero environment with the right journal codes
- Get your division code from your accountant and pass it on to your CS Manager. The curent division ID can be found in the Api-explorer of Xero (need to be logged in) as the Xero tenant id.
