Setting prices for desk bookings, offices, and meeting rooms: Best practices

Setting up services in zapfloor requires defining a price as well. Let's delve into the realm of smart pricing strategies that can benefit your business.

Desk pricing

Desk reservations can serve multiple purposes. The main two are:

  1. Get new people introduced to your building and offering.
If you'd like to introduce your center to a broader audience, consider desk bookings as a low-barrier introduction and offer relatively low-priced day passes. Consider aggressive pricing for this purpose, with a price per day, so it doesn't matter if people spent 1 hour or 8 hours inside.

Also, a fixed day price (rather than an hourly rate) is easy to manage and easy to communicate and market to your potential customers. Once new customers have spent a day inside the building, they'll already have a preview of your offering and community. When they are looking for a more permanent workplace, you'll be top of mind.

  2. Create a dynamic group of regular bookers

If your objective is to build a smaller group of regular desk bookers, you can set a subscription for desk bookers with a less aggressive daily or monthly rate. Use zapfloor's credit system to offer included days and set a daily price for when there are no credits left.

Office pricing

Things to consider when setting prices for your meeting rooms:

  • Market research

Take a look at what's happening in your region. What rates are your competitors are using? What do your ideal customers expect from their ideal space, a simple booth or an advanced offering with added services?

  • Different pricing models

    • Price per workstation within the office

    • Price per square meters

    • Only office space vs. serviced offices

    • Fully furnished offices vs. spaces your customers can fill in according to their wishes

    • Long-term leases vs short-term flex offices.

Meeting room pricing

Things to consider when setting prices for your meeting rooms:

  • Market research

Take a look at what's happening in your region. What rates are your competitors using? What do your ideal customers expect from their ideal space, a simple workspace, or an advanced offering with added services?

  • Pricing model for clear communication
Consider slimming down your pricing table as much as possible. For example:

    • Small sized meeting room: hour price and full day price

    • Medium-sized meeting room: hour price and full day price

    • Large sized meeting room: hour price and full day price

With a total of 6 price points, communicating your prices and checking in on invoices down the line will be easy and efficient.

  • Discounts, credits, and coupons

Instead of an advanced pricing model, you can use discounts, credits, and coupons within zapfloor to negotiate meeting room prices.
