Setting up & Configuring Exact Online

Once you've got an Exact account, you can connect it so your invoices can go straight into Exact Online.

What you need to connect ZapFloorHQ and Exact Online: 

  • Exact online account and its login. 

  • ZapFloor account & Activated integration

  • Configuring Exact Online Settings in Zapfloor (Please get in touch with your CSM to understand and configure these settings)

 

 

Once the integration is activated: 

Go to Integrations > Connections
Click New Connection

Select Exact - Name: Exact Online or what you prefer > Click Create
Open connection using 🔎 > click Authenticate connection > you're atken to Exact to link your account

 

Now that the connection is made, you can export a list of journal codes from your Exact environment for the resources to be assigned in Zapfloor: products, meeting rooms and desks.

Setting the journal codes to resources in Zapfloor

In ZapFloorHQ you get the option to set more detailed journal codes. 

  1. Set product codes

    Go to My Center > Products


    ⚠️ NOTE: You need to do the journal codes for the products PER LOCATION ⚠️

    When setting up each product or service, you have the option to assign a unique journal code. Remember to save your changes after setting up each product.

2. Set meeting rooms codes

For each meeting room, you can set a specific journal code. 

To do this, go to My Center > Meeting Rooms
select the meeting room from the list and scroll down to Accounting.

3. Set unit codes

For each unit (office) in the center, you can set a specific journal code.

To do this, go to My Center > Units
select the unit from the list and enter the journal code.
