Configure your Zapfloor lobby app

The lobby app offers a streamlined process for both your members and their visitors, allowing for effortless self-announcement without requiring any intervention from you or your team. It can be used on both iPads or Android tablets.

1. Introduction 

 

The lobby app can be used for the following functionalities:

  • Checking in visitors 
    The visitor selects who they are visiting and enters their details. After that, the host will receive an email or SMS upon check-in.

  • Checking in visitors with a QR code

    Visitors will receive it via email when they are announced. The host announces the visitor beforehand, once that is done an email will be sent out which contains a QR code. This code can be scanned to announce themselves. After that the host will receive an email or SMS the visitor has arrived.

  • Announce packages and letters

    Staff or delivery drivers can use the lobby app to notify recipients about packages and letters in the digital lobby. Once announced, the recipient will receive a notification or email regarding the arrival of their package or letter.

  • Create new customers.

    As a receptionist, you can use the tablet to create new customers by entering their details such as name, contact information, and any other relevant information into the system. 

  • Check-in desk bookers
Desk bookers can easily check in using a QR code from the app on the tablet, allowing you to track any no-shows efficiently.

2. Specifications of the tablet

    3. Configure the app 

     

    Step 1: Install the app on the tablet 

     

    Install the app on the tablet by selecting the appropriate link and proceeding with the installation process.

    Step 2: Log in as an operator

     

    When setting up the lobby app on the tablet, it is important to note that your username as an operator must be an email address. This ensures that you have a unique identifier for logging in and managing the app effectively. 

    Step 3: Configure the font 

     

    To customize the font in the app, click on the letter "A" located in the top right corner of the screen. A pop-up window will appear, allowing you to select your desired font. Click on your choice, and the font will be updated accordingly.

    Step 3: Select the location

     

    After logging in, you have the option to choose the specific location where you want the app to be operational.

    Step 4: Your app is now live 

     

    4. Customize the app

     

    Step 1: Configure the background 

     

    To set a background for the app, go to My Center > Location Details > Reception app background image. You can watch this video tutorial demonstrating how to do this.

     

     

    Step 2: Add the logo's 

     

    By adding logos for each customer in their settings, visitors will be able to easily identify who they are visiting, creating a smooth check-in process. In this video, we will show you how you can add them.

    5. Test if you can announce a visitor

     

    Step 1: Announce a visitor via the lobby app

     

    After setting up the lobby app and logging in as an operator, the start screen will appear, indicating that the app is ready to announce visitors. Simply click on the check-in option, choose the correct customer, select the contact person, and fill in the necessary details to complete the process.

    Step 2: Go to the visitor's module in the operator account

     

    To verify if the announcement process was successful, log in to your operator account on the computer. Navigate to the visitor's module in the left menu and open it by double-clicking on it. This will allow you to check if the announced visitor is listed correctly.

     

    Step 3: Verify if the visitor is announced on the platform 

     

    Check to see if the announced visitor is listed. If they appear on the list, it indicates that the setup was successful.
