Reporting - unit occupancy
This page explains the Occupancy report, including what each number means and how the values are calculated. It helps you understand the information shown in the dashboard, charts, tables, and exports.
1. Purpose of the report
The Occupancy report gives you a clear overview of how much of your available space is currently occupied and how occupancy has changed over time.
You can use the report to view:
- Total units and workstation capacity
- Current occupancy percentage
- Occupied square meters
- Contract value associated with occupied units
- Units that are still available
The report combines current occupancy information with historical monthly data. The current figures show the situation today based on your selected filters. The monthly table and chart show how occupancy changed during the selected date range.
2. Filters
| Filter | Explanation |
| Date | Limits the monthly occupancy table and occupancy graph to the selected availability period. The columns and bars are shown per month within this selected range. |
| Location | Limits the report to the selected location or locations. Users only see locations they have access to. If only one location is available to the user, this filter may be hidden. |
| Unit type | Limits the report to the selected unit type or types. |
| Unit | Limits the report to specific units. |
3. Important calculation rules
The Occupancy report is based on physical units that represent real space. A unit is considered available when it has no active subscription linked to it; if an active subscription is linked to the unit, it is considered unavailable. Current figures use today as the reference date, while monthly occupancy is calculated based on whether a subscription was active on a unit during any part of that month. The report only includes locations you have access to, and virtual office unit types are excluded. Square meter and workstation capacity figures are calculated only for the units that remain within the selected filters.
4. Top tiles, charts and tables
| Tile/Chart/Table | Explanation |
| Current total units | Shows how many active units exist today within the selected filters. |
| Current total workstations | Shows the combined workstation capacity of all active units within the selected filters. |
| Total unit types | Shows how many unit types are represented in the active units within the selected filters. |
| Current unit occupancy | Shows the current occupancy percentage for today. |
| Unit occupancy report | This table shows occupancy-related values for each month in the selected date range, with one column for each month and one row for each occupancy metric. |
| Occupancy | The Occupancy graph shows how the occupancy percentage changes from month to month within the selected date range. For each month, the occupancy percentage is calculated as the number of unavailable units divided by the total number of units, based on the selected filters. |

5. Exports
The exports contain the same filtered data as the on-screen report. If the same filters are applied, exported totals should match the corresponding tiles, chart, and tables.
Note : The report data refreshes overnight. You can manually start this by clicking the ‘update reports’ button to ensure the report reflects current information.
