Reporting - Unit bookings 

This page explains the Desk bookings report, what the figures mean, and how they are calculated. It helps you understand the totals shown in the dashboard, charts, tables, and exports.

1. Purpose of the report 

The Desk Bookings report provides an overview of hot desk usage for the selected period and locations.

In Zapfloor, units can be used for different purposes, such as an office or a desk. An office is a dedicated, enclosed workspace typically rented or allocated to a business or team, while a desk is an individual workspace within a shared or open area that can be booked or assigned to one person at a time.

The report focuses on desk booking activity, showing how many desks are available, how many bookings were made or cancelled, how booking activity changes over time, and how bookings are distributed across units and weekdays. All figures are based on the same dataset, so tiles, charts, tables, and exports should show consistent results when the same filters are applied. The report focuses on booking activity and does not include occupancy percentages or other occupancy-related information.

2. Filters 

Filter  Explanation 
Date Limits the report to reservations whose booking date falls inside the selected date range.
Subscription-held units Lets the user choose whether units held by subscription are excluded or included in the report.
Location  Limits the report to the selected location or locations. Users only see locations they have access to. If only one location is available to the user, this filter may be hidden.
Zone Limits the report to the selected zone or zones.
Unit type Limits the report to the selected unit type or types.

 

3. Important calculation rules 

The report is based on desk reservations that match the selected filters, with the date filter using the reservation booking date. Capacity reflects the current active setup, meaning active units and spots are based on what is currently active rather than historical capacity. Cancelled reservations are shown in the Cancelled reservations tile and included in Total reservations, but are excluded from the other charts, tables, and figures. Access rights also apply, so the report only includes locations the operator can access. You can choose whether subscription-held units are included or excluded using the available toggle. The report focuses on booking counts, trends, and reserved hours and does not include occupancy percentages.

4. Top tiles, charts and tables

Tile/Chart/Table Explanation 
Total active units  Shows how many active units are available for hot desking within the selected filters. It counts units that are not archived and have hot desking enabled, after applying the selected filters. This is based on the current active unit setup, not historical capacity for the selected date range.
Total active spots Shows how many active desk spots are available within the selected filters. It counts active desk spots linked to the filtered units. This is based on the current active spot setup, not historical capacity for the selected date range.
Confirmed reservations Shows how many confirmed desk reservations match the selected filters. It counts reservations with confirmed status in the filtered dataset. Cancelled reservations are not included.
Cancelled reservations  Shows how many cancelled desk reservations match the selected filters. It counts reservations with cancelled status in the filtered dataset.
Total reservations  Shows the total number of desk reservations within the selected filters. It counts all reservations in scope, including confirmed and cancelled reservations.
Avg days between create and reservation  Shows how far in advance desks are booked on average. It's calculated as the average of reservation date minus booking creation date across all reservations in scope.
Spots per unit This table gives an overview of the current active desk capacity per hot desk-enabled unit for the selected filters. Capacity is not historical: it reflects the units and spots that are active now.
Avg bookings per weekday  This bar chart shows the average number of bookings for each weekday within the selected date range, with Monday through Sunday shown on the X-axis and the average number of bookings on the Y-axis. The average is calculated by dividing the number of bookings for each weekday by the number of times that weekday occurs within the selected date range.
Bookings per day This line chart shows the number of bookings made on each date within the selected period, with the dates shown on the X-axis and the number of bookings on the Y-axis. The values are calculated by counting the reservations based on their booking date.
Bookings per week  This line chart shows the number of bookings made in each calendar week within the selected period, with the weeks shown on the X-axis and the number of bookings on the Y-axis. Bookings are counted based on their booking date, with each week running from Monday through Sunday.
Daily drill down  This table provides detailed daily booking information at unit level for the selected filters.
