Reporting - Sales 

This page explains the Sales report, including what each figure means and how it is calculated. It helps you understand how the totals shown in the dashboard, charts, tables, and exports are determined.

1. Purpose of the report 

The Sales report provides an overview of your sales pipeline activity. Use it to analyse the number and outcomes of deals, the volume and value of quotes, and the sources and tags associated with incoming leads.

The report is based on the sales data included in your selected filters. When the same filters are applied within a tab, the figures in the tiles, charts, tables, and exports should match.

2. Tabs in this report

Tab Meaning 
Deals Deal creation, open and closed deal outcomes, win/loss information, deal type, source, and sales rep performance.
Quotes  Quote volume, quote values, approved quote values, and quote status.
Leads Lead creation and lead distribution by tag and source.

 

2. Available filters 

2.1 Deals tab filters

Filter  Meaning 
Date Includes deals with a creation date inside the selected date range. By default, the report shows the current month and the two previous months.
Sales rep Limits the results to deals linked to the selected sales representative or representatives.
Location  Limits the report to the selected location or locations. Users only see locations they have access to. If only one location is available to the user, this filter may be hidden.

 

2.2 Quotes tab filters

Filter Meaning 
Date Includes quotes with a quote date inside the selected date range. By default, the report shows the current month and the two previous months.
Sales rep Limits the results to quotes linked to the selected sales representative or representatives.
Location  Limits the report to the selected location or locations. Users only see locations they have access to. If only one location is available to the user, this filter may be hidden.
Has reservation  Limits the results based on whether the quote is linked to a reservation.
In option  Limits the results based on whether the linked reservation is still in option

 

 

2.3 Leads tab filters 

Filter  Meaning 
Date Includes leads with a creation date inside the selected date range. By default, the report shows the current month and the two previous months.
Tags Limits the results to leads with the selected tag or tags. Leads without tags should also be available as an empty value.
Sources Limits the results to leads with the selected source or sources. Leads without a known source should also be available as an unknown value.

 

3. Important calculation rules

The report only includes data from locations you have permission to access, and discarded deals, quotes, and leads are excluded from the relevant tiles, charts, tables, and exports. Each tab uses its own date logic: deals are based on the deal creation date, quotes on the quote date, and leads on the lead creation date. In monthly charts, months with no results may still be shown with a value of zero to keep the timeline complete. A deal is considered closed when it is either won (100% completion) or lost (0% completion), while deals with a completion percentage between 0% and 100% are considered open.

4.1 Deals tab

Section 

Explanation 

Deals per status

Shows the number of deals per status.

New deals created

Shows how many new deals were created over time and how those deals are split by deal type.

Deals created per type

Shows how many new deals were created over time and how those deals are split by deal type.

Open deals per type

Shows how currently open deals are distributed by deal type.

Closed deals per type

Shows closed outcomes by deal type and closed status.

Closed deals success rate

Shows the success rate among closed deals.

Lost deals per reason

Shows why deals were lost.

Closed deals per sales rep

Summarises deal outcomes per sales representative.

Deals per sales rep (closed vs open)

Shows how each sales rep's deals are split between open and closed deals.

Deals per sales rep (by source)

Shows where each sales rep's deals came from.

 

4.2 Quotes tab

Section  Explanation 

Total value created quotes (excl. VAT)

Total net value of all quotes in scope. It's the sum of quote values excluding VAT, after discounts.

Quotes created

Number of quotes in scope.

Average value per quote (excl. VAT)

Average net value per quote in scope

Total value approved quotes (excl. VAT)

Total net value of approved quotes in scope. It's the sum of approved quote values excluding VAT, after discounts.

Quotes approved

Number of approved quotes in scope.

Average amount approved quote (excl. VAT)

Average net value per approved quote.

Current status per quote

Shows the distribution of quotes by current quote status.

 


4.3 Leads tab

Section Meaning 
Leads per tag  This horizontal bar chart shows how many leads exist per tag.
Leads per souce  This bar chart shows how leads are distributed by source.

 

5. Exports

Each tab has its own CSV export. The export uses the same filtered dataset as the tab on screen. If the same filters are applied, the exported rows and totals should match the corresponding tiles, charts, and tables for that tab.

Note : The report uses the reporting dataset. The report data refreshes overnight. You can manually start this by clicking the update reports button to ensure the report reflects current information.
